We’ve been getting a lot of questions lately about payment schedules, payment processing and financial assistance and so Financial Aid wanted to clarify which departments are responsible for which aspects of your tuition payment responsibilities at IE.  This information is useful for admitted candidates to an IE master degree program.

Admissions Department: Payment Schedule and Admissions Contract.

The Admissions Department at IE is responsible not only for selecting the best candidates and offering them admissions to an IE degree program, they are also responsible for formalizing the enrollment process via the Admissions Contract.  As the payment schedule is a component of the Admissions Contract, setting your payment schedule is something you need to discuss with the Admissions Department.  Financial Aid does not handle tuition payment scheduling.

Financial Aid Department: Processing Applications for Financial Assistance and Awarding Assistance to Degree Candidates.

Financial Aid receives applications for scholarships, fellowships and student loans, and decides which admitted candidates receive assistance from IE directly.  Financial Aid also manages all national and international agreements with program co-sponsors.  Financial Aid does not handle payment schedules and/or payment processing issues.

Administration Department: Payment Processing Issues.

Once a student has been admitted to their program, have had their financial assistance request processed and signed their admissions contract, any subsequent payment issue needs to be handled by the Administration Department.  Students who are going to have a delay in the sending of payment are highly recommended to proactively contact the Administration Department.  Late payments are subject to penalty.  Financial Aid does not handle payment processing issues of any kind, including the Place Reservation payment of 5.000€ and the IE Foundation Contribution of 1.200€.

We often receive requests for assistance related to payments processing, and so this post clarifies the relationship between IE Financial Aid, IE’s Administration Department and you the student.

Who does what?

1) Student: works with IE Financial Aid before they start their program on issues related to funding support for their program via scholarships, fellowships and/or loans.  Students must have their financial plan in place before they start their program, and IE Financial Aid is their support service before starting their program.  Students work with the Administration Department when it comes time to process payments (tuition and program-related fees).

2) IE Financial Aid: coaches students on how to  fund their programs, taking advantage of scholarships, fellowships and student loans when are where appropriate.  We also handle all processing of applications for grants provided by the IE Foundation (scholarships and fellowships), loan applications for loan programs and partners, and we’re even able to open bank accounts for students before there arrival to Madrid.  The contact email for IE Financial Aid is financialaid@ie.edu.

3) IE Administration Department: helps students with regards to their payments to IE, which include tuition fee payments, the contribution to the IE Foundation, Beyond Borders Experience fee payments and other program related payments.  If you have questions about your pending student account balance, want to notify IE of payments made (send proof of payment for example) or if for some extenuating circumstance you’ll be a little late in making a tuition payment as stipulated in your admissions contract, then you need to contact the Administration Department.  The contact email for the IE Administration Department is AdministracionClientes@ie.edu -be careful with the spelling: it’s administracion (Spanish spelling) and it’s clientes (plural).

Conclusion: while the student works with IE Financial Aid prior to starting their program for everything related to scholarships, fellowships and loans, the student coordinates directly with the IE Administration Department once they’ve started their program and for matters specifically related to payment processing.

The Financial Aid Office often receives inquiries about payment processing issues, so below we’ve provided some information that should be of use, when trying to figure out who it is you need to speak to about payment processing.

Payment Process: Tuition Payment Issues

The department at IE that handles payment issues related to tuition is the Administration Department.  In all likelyhood you will be speaking with Mónica Aragones or one of her skilled team members.  To get in touch with them you can either call the main line at IE (+34 91 568 9600) or you can email the Admissions Department team (admissions@ie.edu) and one of the Admissions Department assistants will forward on your request to Administration.

Payment Process: Discussing Your Payment Plan

Please speak directly with the Admissions Department assistant for your program by sending an email to admissions@ie.edu and specifying your personal details (name, program, intake month/year, etc.) and that you need to speak to someone about your playment plan.  One of the Admissions Assistants can help you navigate issues related to your payment plan.

Payment Process: Place Reservation and IE Foundation Contribution Payments

Please speak directly with the Admissions Department assistant for your program by sending an email to admissions@ie.edu and specifying your personal details (name, program, intake month/year, etc.) and that you need to speak to someone about your playment plan.  One of the Admissions Assistants can help you confirm that your place reservation fee and IE Foundation contribution has been received.

Payment Process: Sallie Mae Loans

So you’ve worked through the Sallie Mae loan process and the entirety of the funds have been transferred to IE, but how does IE get you the balance of the funds not used to cover your tuition and related fees?  Essentially, once we’ve discounted your pending balance owing to IE, we transfer the difference remaining to an account Financial Aid sets up for you at Caja Madrid, once you are in Madrid or ahead of your arrival.  To learn more about how to open a bank account at Caja Madrid, with the Financial Aid Office’s help, see: Opening An Account | Abrir una cuenta.

Payment Process: Caja Madrid Loans

Once you sign your loan contract at Caja Madrid, the funds are directly transferred to IE.  The difference left over remains in an account Financial Aid sets up for you at Caja Madrid before you arrive, or which you set up yourself once you arrive.  Generally all you have to do when you arrive in Madrid to set up an account is to go to the bank and sign the required documentation and provide your ID numbers.  However, you can learn more about how to open a bank account at Caja Madrid at: Opening An Account | Abrir una cuenta.
